camper registration guidelines...

To best serve your campers, begin your preparations early. Communication to church staff, parents, students and ministry leaders is very important. We recommend churches plan to use the month of April as a camp registration kick-off month to begin collecting registrations forms and deposits. This allows you to submit your first batch of campers by May 1st, the opening day of registration. A month prior to your scheduled camp, ALLFOURONE will mail the church a follow-up pack for your campers and parents. Included in this pack will be a Director’s Letter, Parent Info Sheet and a Souvenir Order Envelope for each registered camper.

Camp Coordinator 's Check-List…

  • Announce dates & fees (church bulletin & announcements in youth/children and adult services).
  • Show videos and share camp testimonies to generate interest.
  • Display and distribute all registration brochures and available promotion materials.
  • Collect deposits and completed Registration Forms from campers.
    • Before sending registrations, please be sure each form is complete, signed and legible.
    • Collect the appropriate amount for deposit.
      • $50.00 deposit for Kids Camps
      • $100.00 deposit for Middle School and High School Camps
      • Special Note: $50.00 of the deposit (for all camps) is non-refundable/non-transferable.
    • ALLFOURONE does not accept VISA/MASTERCARD, personal checks or cash. Please have parents/guardians pay your church. The church can then issue a check for each batch of registration forms submitted.
  • Mail all Registration Forms, Camper Registration Worksheet(s), and church issued check(s) to the ALLFOURONE Administration Center. For an MS Excel version of the Camper Registration Worksheet, you may visit our website or contact our office.
  • Dispense other information regarding:
    • Parent Information Sheet is intended for the parents of registered campers. It contains arrival/departure times, wellness policy, instruction about meds at camp, how to send mail/e-mail to campers and an emergency contact number. ALLFOURONE will mail these to each church one month prior to camp. Please be sure to distribute to all parents prior to camp.
    • Director’s Letter is written to the camper from their camp's Director introducing the theme and Biblical emphasis for the camp. This will also include a list of ‘what to bring’ and ‘what not to bring’ to camp. ALLFOURONE will mail these letters along with the Parent Info Sheet one month prior to camp. Please be sure that each registered camper gets a copy.
    • Souvenir Order Envelope is a tool to assist parents and campers with ordering a souvenir T-shirt, photo or video from their week at camp. Please DO NOT have parents pay your church for these items. Checks should be written to ALLFOURONE and be submitted at the time of check-in at camp.
    • Camper Medications and Wellness Policy - All campers should be free of the following symptoms 24 hours prior to camp for participation. Those who arrive with any of these symptoms will be sent home: Fever of 100 degrees or more, vomiting, diarrhea, contagious skin infection or lice. All campers must turn in both non-prescription and prescription medications to the Camp Nurse upon arrival. Please inform parents of the following guidelines for medications:
      • Must be in original containers whether prescription or over-the-counter.
      • Sample meds need to have a physician’s prescription included.
      • Dosage given on prescription label will be given unless changed in writing by the physician.
      • Over-the-counter medications are available at camp, but in limited “brands.”
      • If a specific over the counter brand is necessary (i.e. Tylenol, Advil, Triaminic etc.), you must send it with him/her in its original container.
    • Transportation to and from camp (please encourage carpooling)
    • Payment of final balances
  • A church issued check for the remaining balance on your church account is due at check-in on DAY ONE of each camp. You may choose to mail it to our Administration Center prior to each session.
Camper Registration Processing
  • ALLFOURONE will begin processing camper registrations on May 1st.
  • Registrations forms are processed on a first-come, first-served basis—prompt mailing of registrations is important to securing a campers’ participation. Each camp session will be “overbooked” to accommodate any anticipated cancellations. As a result, a “waiting list” is not available.
  • ALLFOURONE does not accept “walk-ons” on the day of camp. The last day ALLFOURONE will process camper registration forms and deposits will be one week prior to DAY ONE of camp. All registrations must be originals which are signed by a parent or guardian (please no faxes or e-mails).
  • A Camper Registration Worksheet must accompany each batch of submitted camper registrations. Should you send campers to multiple weeks of camp, please keep your summary of each camp on separate Camper Registration Worksheets (i.e. KIDS, MS or HS). Please contact our office if you would like a MS Excel version of the Camper Registration Worksheet.
  • If in doubt as to whether a camper has been registered, please contact ALLFOURONE before calling campers and/or parents.
  • In the event a camper should cancel, please contact ALLFOURONE at your earliest convenience. As indicated on the registration form, $50.00 of the registration deposit is non-refundable and non-transferable. Please do not replace a cancellation with another camper without the approval of ALLFOURONE.
